Executive Assistant Needed Responsibilities: -Scheduling meetings and maintaining calendars in Outlook for VPs including: Meeting time, location, contact telephone number and address, as needed. -Processing expenses reports and check requests. -Greeting visitors and guests of the department -Answering busy phones -Miscellaneous administrative duties i.e. filing, faxing, copying. -Internet research and knowledge of PDA devices for very busy and accurate calendar/contact/email maintenance. -Format executive Powerpoint presentations -Maintain files in VPs offices in an efficient and orderly manner. -Open all incoming mail, prepare outgoing mail. Review and prepare documents to include pertinent information that may assist the VPs with resolving issues. Flag paperwork that requires multiple signatures from VPs. -Monitor and order office supplies as needed. Requirements: -3 to 5 years of Executive support experience required -Candidate must be detail-oriented, well-organized - Microsoft Excel, PowerPoint, Word and Outlook required -Internet research experience a must. -Must be a self starter, take initiative, and be assertive in anticipating the needs of the Executive. -Proven ability to manage several on-going projects and assignments required. -Must be reliable and a team player. -Perform other duties as assigned - Must have the ability to handle confidential and sensitive material with discretion. df-jb |
