Job/Project Details: Looking for an individual with 5-7 years of construction industry experience who can support the estimating department, project office manager, and project managers! This individual will work with Executive Management and will be a very key position. They will be covering a lot of ground. Estimating Coordinator / Office Manager Position Requirement: A detailed and organized professional with previous office administration experience. Primary focus on providing support to Irvine Estimating Office and support to Project Office Managers. Proficient in Microsoft Office Applications: Outlook, Word, Publisher, Powerpoint and Excel. The position will report directly to Business Manager with secondary reporting to the Estimating Manager. Position Outline: Irvine Office ? Answer and man auto attendant calls into the Irvine Office ? Order office supplies ? Coordination of vendors for office ? Management of Telephone Conferencing and Video Conferencing ? Process Incoming and Outgoing mail ? Arrange and Plan Bid Meetings ? Prepare Powerpoint Presentations as directed Provide Support to Project Office Manager ? Provide backup to Project Office Managers when required specifically in the following areas: ? Indexing of receivers and purchase orders into Paperless Environment ? Input of timesheets into Viewpoint Accounting Software ? Front loading of material into Purchase Order Module in Viewpoint Accounting Software ? Front loading of schedule of values into Job Billing in Viewpoint Accounting Software ? Assist Business Manager in other areas areas as needed Estimating Support ? Order and distribution of plans ? Advertising Greensheets ? Preparation of bid documents, Good Faith Efforts, technical proposals and incorporate necessary documents such as resumes and project write-ups ? Develop and maintain technical proposals ? Attend Pre-bid meetings as required ? Assist in running bids and/or manning phones on bid day ? Database management in Hard Dollar Estimating Program; job set up, input of bid items ? Prepare bid book(s) both paper and electronic ? Assist Estimating Manager in additional areas as needed Hours: 8:00 am to 5:00 pm Salary: Commensurate with background and experience. df-jb
